Terms and Conditions

  • Meeting Room Rental Terms & Conditions

    1. Booking & Payment

    All meeting room reservations must be paid in full at the time of booking. Payment secures the reserved time slot and is non-transferable unless otherwise approved by management.

    2. Cancellation & Refund Policy

    Cancellations made more than 24 hours in advance of the reservation will be eligible for a full refund, less a 3.5% credit card processing fee, upon request. Cancellations made within 24 hours of the reservation will not be eligible for a refund. However, we will issue a credit in the full amount of the booking, that can be used for rebooking at a later date. No-shows will forfeit any refund or credit.

    3. Availability & Substitutions

    We strive to honor all confirmed bookings, but in the event of unforeseen circumstances (e.g., maintenance issues, HVAC failures, or other operational disruptions), we reserve the right to relocate the reservation to an alternative meeting room of comparable value. If no alternative space is available, a full refund or credit will be provided at our discretion. We are not responsible for any inconvenience or loss caused by unavailability due to circumstances beyond our control.

    4. Use of the Space

    Clients are expected to use the space professionally and responsibly. The meeting room must be left in the same condition as it was found. Excessive cleaning or damage beyond normal wear and tear may result in additional charges. The use of open flames, smoking, or any hazardous materials is strictly prohibited. Noise levels must be kept at a reasonable volume to avoid disruption to other tenants.

    5. Liability & Damages

    The renter assumes full responsibility for any damages caused to the meeting room, furniture, or equipment during their rental period. We are not responsible for any lost, stolen, or damaged personal property brought into the facility. The renter is responsible for ensuring all guests comply with these terms and conditions.

    6. Technology & Equipment

    Any audiovisual or conference equipment provided must be used appropriately and returned in working order. We do not guarantee compatibility with all devices or software. Any technical issues should be reported immediately, but we do not assume responsibility for disruptions caused by equipment failure.

    7. Overages & Extended Use

    If a meeting extends beyond the reserved time, additional fees may apply based on availability. Extensions must be approved by management before the end of the scheduled rental period.

    8. Conduct & Compliance

    We reserve the right to refuse service or terminate a reservation without refund if a renter or their guests engage in disruptive, illegal, or inappropriate behavior. Renters must comply with all local laws and regulations while using the facility.

    9. Force Majeure

    We are not liable for cancellations or disruptions due to circumstances beyond our control, including but not limited to natural disasters, power outages, or governmental restrictions.

    By booking a meeting room, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. Failure to comply may result in the loss of rental privileges and/or additional charges.
